Ordering Custom Furniture: What to Expect From Quote to Delivery

Most people ordering custom furniture are doing it for the first time. The process is straightforward once you know what to expect, but it is different enough from buying off the shelf that a little orientation goes a long way.

Here is how it works at Waldrop, from the first message to the piece landing in your home.

Step 1: The inquiry

Everything starts with a quote request. The more detail you give us upfront, the faster and more accurate the quote will be. Useful things to include:

  • What kind of piece you want (dining table, cabinet run, bed frame, etc.)
  • Dimensions, or the space it needs to fit
  • Any specific wood species or finish preference
  • A photo of the room or a reference image, if you have one
  • Your timeline

You do not need to have all of this figured out before reaching out. If you only know you want a dining table that seats eight, that is enough to start a conversation.

Step 2: The quote

We will follow up with questions if we need more to size the job, then send a written quote. The quote covers materials, labor, and an estimated lead time.

Custom work is priced by the piece, not by the hour. You will see a flat price for the finished item as described, not an estimate that can creep up as the job progresses. If your scope changes after you approve the quote, we talk about it and agree on any adjustment before the work changes.

Lead time from deposit to delivery is typically four to eight weeks depending on our current schedule and the complexity of the piece.

Step 3: The deposit and materials order

Once you approve the quote, we ask for a deposit to reserve your build slot and order materials. Our deposit is 50% of the project total.

This is when we lock in the wood species, grade, and finish. If you have not decided between two options, this is the conversation to have before the deposit clears, not after.

Step 4: The build

Your piece goes into our shop queue. We build everything ourselves in-house, which means the person who quoted your job is on the tools for it. No subcontracting.

For larger or more complex pieces, we will send progress photos partway through. For straightforward builds, you will hear from us when it is ready for finishing.

Step 5: Finishing

Most of our pieces are finished in oil, wax, or lacquer depending on the intended use. We will confirm the finish option with you before it goes on, since finish affects both look and long-term maintenance.

Once the finish is applied and cured, the piece is ready.

Step 6: Delivery and installation

We handle local delivery ourselves. For larger items, we will coordinate a time that works for you and bring the piece in, place it, and make sure everything is right before we leave.

If you are a contractor or designer ordering for a client site, we can coordinate with your schedule and deliver directly to the project address.

A few things that make the process go smoothly

Keep the scope stable after the deposit. Changes mid-build slow everything down and sometimes mean scrapping work already done. If you are not certain about a detail, flag it before you approve the quote.

Give us real dimensions. Measure the space, not your guess of the space. A dining table that is two inches too wide for the room is not a mistake we can fix after the fact.

Communicate early if your timeline shifts. If your move date changed or the renovation got pushed back, let us know. We can sometimes adjust our queue, but we cannot do it on short notice.

What happens if something is wrong

We stand behind everything we build. If a piece arrives with a defect, we fix it, full stop. If a joint loosens or a finish shows a flaw in the first year under normal use, reach out and we will make it right.
